EPFO Update: Imagine a company you never worked for appears in your PF passbook. An incorrect PF Member ID linked to your Universal Account Number (UAN) can distort your service history and even prevent PF transfers or withdrawals. If you’re also seeing such a strange record on the EPFO portal, there’s no need to panic. With a little common sense and the right steps, this error can be easily rectified.
Why does the incorrect PF Member ID problem occur?
In most cases, this error occurs due to a data entry or mapping error on the employer’s part. Someone else’s PF number may be linked to your UAN by the HR or payroll team, an additional member ID may be created inadvertently, or an incorrect Establishment Code may be used. This error is usually detected when you log in to the EPFO Member e-Seva portal and check your service history or passbook.
First, document the mistake.

Note down your UAN and all the PF Member IDs linked to it.

If they acknowledge the error, ask them to request a correction or de-linking in writing to the relevant regional EPFO office. EPFO usually processes corrections based on the employer’s confirmation.
File an online complaint with the EPFO
Also, be sure to file your grievance online on the EPFiGMS portal. Include the following information in your complaint: your UAN, correct PF Member ID, incorrect PF Member ID, and the name of the relevant employer. Also, clearly state that you only want the incorrect mapping corrected, not a transfer or closure. Upload screenshots and proof of your conversation with HR. This will officially register the case in the system.
Follow up by visiting the PF office if necessary
If the response to your online complaint is unclear or the matter doesn’t move forward, visiting the relevant regional PF office may be helpful. Bring your UAN details, identity card, a copy of the grievance, and the employer’s response. Clearly state that you only want the incorrect PF member ID removed from your UAN. It may take a few weeks for the system to update, but the incorrect ID is eventually removed.
How to avoid such mistakes in the future?
Be sure to provide your old UAN to your new employer upon every job change. After a month or two of joining, log in to the EPFO portal and check your service history. Keep your KYC up-to-date to prevent a duplicate or incorrect PF account from being created in your name.
